NECSA - Dispatch and Administration Clerk Vacancies


Position Overview:

Reporting to the Supervisor: Industrials the incumbent will coordinate and process relevant administration, container management and shipping of industrial products.

Key Performance Areas:

· Dispatch and Container Management

Receiving:


· Receive containers delivered by customers;
· Offload containers from vehicles using crane or manual labour;
· Update the Container Tracking System (CTS); and
· Removing old labels from Beatrice containers and keeping record of when services have been completed or need to be carried out on the Beatrice containers (by removing the O-rings and bolts and replacing it with new items as required).

Dispatch:


· Labeling the outgoing containers with address and “Radioactive” labels.
· Attach documentation such as packing notes, invoices, decay charts and source identification information to the container.
· Loading of the container (s) into the collecting customer’s vehicle using a crane or manual labor.
· Coordinate the activities in P3000 dispatch area.
· Will be responsible for the loading of Medical and Industrial Products dispatched from NTP.


General Administrative Processes


· Responsible for activities of relevant sales administration duties.
· Receiving and Processing of Orders.
· Receiving daily orders from Gammatec and other customers for industrial related products.
· Entering the order on various systems and Excel Production Spreadsheet.
· Following up on final delivery of product with Industrial Production.
· Invoice order according to the purchase order received, information from Industrial Production as well from the industrial pricelist.
· Ensuring company procedures are adhered to with respect to the quoting, processing and delivery of products.
· Keep the filing of documentation up to date.
· Scan and e-mail the invoices and packing notes daily to Gammatec.
· Provide reports on request to the Product Manager: Industrials.
· Ensure customers are proactively contacted when delivery, price or quality problems arise.

Job Requirements:


· The ability to coordinate all activities during the preparation of containers to be shipped and the movement of assets.
· The ability to perform the administrative functions attached to a specific job such as correspondence, documentation management and general administration.
· The ability to communicate effectively and efficiently at all levels in the organisation and foreign clients.
· The ability to utilise the correct computer software and the relevant functionality applicable to the outcomes required.
· The ability to identify items/actions requiring further action and to follow-up to conclusion.
· The ability to apply the principles of problem solving techniques to identify and resolve a problem in the best interest of all stakeholders.

Qualifications and Experience:


Grade 12 certificate.
DGR-6 IATA Dangerous Goods Regulations is an added advantage.
2 years in a sales/clerk/dispatch administration environment is recommended.
