Issue Stock:
Issue stock and First-aid Kits according to the stock list to coaches.
Prepare and pre pack materials and First-aid Kits as indicated on stock list for coaches.
Issue cleaning materials and First-aid Kits in time of departures of coaches.
Issue cleaning materials to departments and cleaning staff on daily basis.
Complete cleaning issue registers and First-aid Kit Register as it gets issued.
Issue cleaning materials to Offices / Depots on a monthly basis.
Prepare invoicing for stock issued to Offices and Depots.
Prepare cross border paperwork for Finance to send cleaning materials on a monthly basis.
Issue refreshments to coaches and departments as requested.
Issue correct quantity of refreshments to coaches and departments and log on the MOVE system immediately.
Receive Stock:
Ensure to receive un-used stock back from coaches on arrival
Ensure to receive First-aid Kits from coaches on arrival and confirm seal numbers
First-aid Kits register must be completed when Kits are received.
Ensure stock received from suppliers is according to order placed.
Ensure stock received from suppliers is according to the delivery note.
Note discrepancies between stock received and delivery note on the supplier’s delivery note and report to Line Manager.
Check quality of stock received, return damages to supplier and report to line manager.
Stock Control Refreshments and Cleaning materials:
Perform daily counts on refreshments and cleaning materials
Balance refreshment and cleaning material stock daily
Perform monthly stock counts on refreshments and cleaning materials, and submit to Line Manager
Ensure stock issue registers is updated daily and captured correctly
Ensure not to over-issued cleaning materials to cleaning staff
Ensure to verify cleaning staff material request against previous request in the register
Report suspicious stock withdrawals to Line Manager
Laundry (Coming Soon):
Timorously washing of head rest covers, curtains, etc.
Properly fold and pack head rest covers neatly according to the correct type and quantity for coaches.
Issue washed head rest covers to Wash-bay
Receive dirty head rest covers from wash-bay
Complete registers when receiving or issuing head rest covers.
Use soap as indicated by the Line Manager to avoid stock misusage
Cleanliness of Work Environment:
Maintain cleanliness of stockrooms, shelves, bins and stock.
Maintain neatness of office area
Ensure cleanliness of washing machine/tumble dryers/ice machine).
Daily Cash-Up completed:
Ensure daily cash-ups is completed.
Ensure that money in hand corresponds with money as indicated on cash up summary at the end of a shift.
Ensure that cash-up and monies are dropped in the safe at the end of the shift.
Back-Up Parcels:
Assist external customers with parcels
Collect of internal parcels for sending if not delivered to Parcel Counter
Preparing of parcels for sending including waybills
Load parcels on correct route
Ensure customers are notified via e-mail of waybill number, fleet number and ETA details (For internal parcels, include driver details).
Prepare trip load sheet in full and load parcels sent on pre-alert
Check pre-alert report for incoming parcels.
Check all incoming coaches for incoming parcels from offices, depots and external customers
Receive and offload incoming parcels from coaches.
Notify receiver (end customer) of arrival of parcels.
Deliver internal parcels to receiving parties timeously.
Capture parcels monies on MOVE.
Canteen sales (After Hour Shift only):
Receive stock from Canteen
Balance and update new stock on Computer
Record and capture sales
Balance and close stock at end of shift
Complete Cash-up daily
Reconcile stock and moneys with Canteen Controller and hand over
